OL97: Fields Missing Inserting a Contact into Word

SYMPTOMS

When you use Microsoft Word's Insert Address feature to insert an address from a Microsoft Outlook 97 contact, you may see one of the following conditions:

  1. You insert an incomplete address.

    -or-

  2. You see only Contacts that have e-mail addresses or fax numbers and no address is inserted at all.

STATUS

Microsoft has confirmed this to be a problem in Microsoft Outlook 97 for Windows. This problem was corrected in Microsoft Outlook 97 version 8.02 for Windows.

Condition 1

The address information in the selected Contact did not register properly in the Contact folder and you are using an AddressLayout AutoText entry in Word to define the address format.

Condition 2

 You did not install Word's Address Book.

RESOLUTION

Condition 1

Force registration of the Contact by doing the following:

  1. On Outlook's Go menu click Contacts.

  2. Open the Contact and click to deselect "This is the mailing address."

  3. Click to select "This is the mailing address" again.

  4. Click "Save and Close."

Return to Word and reinsert the address. It should now be entered properly.

Condition 2

To install Word's Address Book, do the following:

  1. Quit Word and Outlook.

  2. Run Setup from your original discs and Click Add/Remove.

  3. Click Microsoft Word.

  4. Click Change Options.

  5. Click Address Book.

  6. Complete the Setup Wizard.

If you installed Word's Address Book on the computer, this problem usually is related to an imported Contact file in combination with the use of the AddressLayout AutoText that redefines the data to be displayed.

Steps to Reproduce the Problem

  1. In Outlook, Import a Contact file from another program.

        a. On the File menu, click Import and Export.
    

        b. Click "Import from Schedule+ or another program or file," and click
           Next.
    

        c. Click the appropriate file format and click Next.
    

        d. Type the name of the file to be imported and click Next.
    

        e. Click Import <filename> into the Contacts folder and then click
           "Map Custom Fields" (where < filename> is the name of the file you
           want to import.)
    

        f. Map the incoming name and address fields to the appropriate Contact
           fields, click OK and then click Finish.
    

  2. In Word, setup an AddressLayout AutoText entry to define the layout of the address to be inserted. See the REFERENCES section below for information on defining the AutoText entry.

  3. On the Tools menu, click Envelopes and Labels.

  4. Click Insert Address to insert an address into either the Delivery address or Return address window.

Result: The address inserted may have only partial information.
