OL97: No Matching Items Found Using "From" Criteria

SYMPTOMS

Using the Microsoft Outlook 97 Find Items feature, no matching items are found under the following conditions:

  • A single Contact has multiple e-mail and/or Fax entries.
  • Your search criteria specifies messages from a contact that includes (E-mail) in the name.

CAUSE

The Find engine uses an explicit text search method; spaces are interpreted as an "AND" function.

RESOLUTION

Type the name in the From box; do not choose the name from the Address Book if it has anything appended to the end of the name.

MORE INFORMATION

An Outlook Contact, as viewed from the Address Book, can contain as many as 3 e-mail addresses and 3 Business Fax numbers. Outlook appends (e-mail), (email2), (email3), (Business Fax), (Business Fax2), or (Business Fax3) to the e-mail name to differentiate between the types of addresses. So a contact name in the Address Box can have any of these formats:

   myname (E-mail)
   myname (E-mail2)
   myname (E-mail3)
   myname (Business Fax)
   myname (Business Fax2)
   myname (Business Fax3)

A space between words in any of the search criteria fields is interpreted as an AND function. In the example above, myname (E-mail), is interpreted as myname AND (E-mail). Since all criteria must be matched for the search to succeed, and (E-mail) is never found in the From field of an e-mail message, the search will fail.

Steps to Reproduce the Problem

  1. On the Tools menu, click Find Items.

  2. Click From.

  3. Show names from Contacts.

  4. Click a name, then click From-> and then click OK.

  5. Click Find Now.
