WD: How to Group Footnotes That Restart at 1 for Each Section

SYMPTOMS

Microsoft Word cannot restart the footnote numbering at 1 for each section of a multiple-section document if the footnotes are compiled at the end of the document.

WORKAROUND

To achieve this effect, follow the steps appropriate for your version of Word.

Word 6.0

Follow these steps:

  1. Begin with a multiple section document (created manually or by merging more than one document with a new one).

  2. On the Insert menu, click Footnote.

  3. Click the Endnote tab.

  4. Click Options.

  5. Under Place At, select End Of Section.

  6. Select the Restart Each Section check box.

  7. Move to the next section and repeat steps 2-6.

  8. On the File menu, click Save As and give the document a different name.

  9. In the Save File dialog box, select Text Only.

  10. Close and reopen the Text Only file.

    Scroll to the end of the new document. All of the footnotes of each section will appear in one compiled list with their proper numbering for the end of each section.

  11. Reformat the footnote numbers with superscript and decrease the font size of the footnote text to 10 point if necessary.

  12. Copy the entire section of footnotes to the Clipboard.

  13. Open the original document, scroll to the end of the document, and Paste in the footnotes.

  14. Open the Footnote Window of the original document by pressing COMMAND+OPTION+F.

  15. Press COMMAND+A to select all of the text in the footnote window.

  16. Apply Hidden Text formatting from the Character dialog box.

Word 5.0 and Earlier

Follow these steps:

  1. Begin with a multiple section document (created manually or by merging more than one document with a new one).

  2. On the Format menu, click Document (in Word versions 3.x, click Page Setup on the File menu).

  3. Select the End Of Section option for Footnotes Position (Endnote option in Word 3.x). In Word 5.0 and 4.0, also select Restart Each Section in the same dialog box. Click OK.

  4. On the Format menu, click Section and select Include Endnotes. Do this for every section of the document by moving the insertion point to each individual section and selecting the option from the Section dialog box.

  5. On the File menu, click Save As and give the document a different name.

  6. Under Save File As Type, select Text Only. (For Word versions 4.0 and 3.x, click the File Formats button in the Save As dialog box and choose Text Only. Choose OK.) Click Save.

  7. Scroll to the end of the new document. All of the footnotes of each section will appear in one compiled list with their proper numbering for the end of each section.

  8. Reformat the footnote numbers with superscript and decrease the font size of the footnote text to 10 point if necessary.

  9. Copy the entire section of footnotes.

  10. Open the original document, scroll to the end of the document, and paste in the footnotes.

  11. Open the footnote window of the original document by pressing COMMAND+SHIFT+OPTION+S.

  12. Press COMMAND+OPTION+M to select all of the text in the footnote window.

  13. Apply Hidden Text formatting from the Character dialog box or press COMMAND+SHIFT+X.
