WD: Using Grammar Check to Create Readability Statistics Only

SUMMARY

When you click Grammar on the Tools menu in Microsoft Word, there is a Show Readability Statistics (Show Document Statistics) option in the Grammar Preferences dialog box. Normally, Word shows the statistics from the last insertion point to the end of the document. This can be a problem if you need a total calculation for the document statistics.

By turning off all the Grammar options, you can have the Grammar command compile the document statistics without performing any grammar checking. If you commonly need to compile document statistics, you may want to save a separate settings file that can be temporarily used to create document statistics.

To set the Grammar preferences for document statistic calculation only, follow these steps:

  1. On the Tools menu, click Preferences, and click the Grammar icon. Alternatively, if you are already in the Grammar dialog box, click Options.

  2. Clear every Style and Grammar option in the Rule Groups box. Also, choose Never for each of the Catch items.

  3. Make sure that the Show Document Statistics option is selected.

  4. Close the Preferences dialog box. On the Tools menu, click Grammar.
