Group Membership Form View

Users add persons to or remove persons from existing groups using the Group Membership form view. This form view works differently than the other form views in the PT Admin application (Activity, Activity Type, Group, Location, and User); the user does not type information into this form. Instead, users choose groups from a list and then modify the groups' membership. The following steps outline the process of adding a person to and deleting a person from a group:

To add a person to a group

  1. In the left pane, click the group to which you want to add the person. This group appears in the New list.
  2. Select a person type by clicking Individual, Evaluator, or Auditor.
  3. Click Submit Changes to add the person to the group. Group Membership Form Button describes how this button works. Group Membership Data Validation discusses how the PT application validates the new entry. The Current list now contains an updated list of groups to which the person belongs. Each entry includes the role (individual, evaluator, or auditor) the person has in the group.

To delete a person from a group

  1. In the Current list, select the groups that you no longer want the person to be a member of.
  2. Click Submit Changes to remove the person from the groups. The Current list now contains an updated list of groups to which the person belongs. The groups you deleted no longer appear in the list.

Accessing the Group Membership Form

Users can access the Group Membership form by clicking View Schedule of Classes on the User form.

Elements on the Group Membership Form

The layout and functionality of the logo frame, menu frame, and left pane are similar for all of the PT Admin application's form views. The following topics describe these elements:

The right pane for each form view varies. The following table lists the data entry fields and accompanying labels in the right pane of the Group Membership form. Label text is localized for German, Japanese, and U.S. English.

In addition, the right pane contains labels that instruct users and organize and describe the content of the form. These labels are not associated with data entry elements on the form.

Label text Purpose
Group Membership for The title of the form concatenated with a person's first and last names.
Select classes to remove. Multi-select with CTRL+click or SHIFT+click. This text, which is located below the Current list box, describes how to remove a person from specific classes.
Select classes to add from list at left. Double-click item to remove. This text, which is located below the New list box, describes how to add and remove groups from this list.

Group Membership Form Button

The Group Membership form does not include the Standard Buttons that are on the Activity, Activity Type, Group, Location, and User form views. The Submit Changes button is the only command button on the Group Membership form.

Group Membership Data Validation

Users can create a group membership only once for the same person with the same person type; for example, if Amy Anderson is an evaluator for the Fourth Grade group, she cannot be added to the group as an evaluator again. However, she can belong to the Fourth Grade group as an individual and as an auditor.
