Steps to Crawl Exchange Public Folders with Site Server Search 3.0

  • Install Microsoft Internet Information Server (IIS) 4.0 and the Outlook Web Access component of Exchange Server on the Microsoft Exchange Server or on another server that can be pointed to the Exchange Server. Outlook Web Access can be installed on any IIS server by running a Custom Exchange Server installation. Exchange Server Setup will prompt you for the network location of the Exchange Server when installing the Outlook Web Access component. Once Outlook Web Access has been successfully installed, install Exchange Server 5.5 Service Pack 2 to update Outlook Web Access to the most recent version.


  • On Exchange Server:

    1. Make sure that the HTTP Protocol is enabled. To enable the HTTP Protocol, select the Configuration container for the site, then double-click on the Protocols container and then double-click on HTTP (Web) Site Settings. Click the General tab and make sure that the Enable Protocol checkbox is selected.


    2. If you want to allow anonymous access to the public folders, you must designate anonymous access to the public folder when you create the folder in the Exchange/Outlook client. You must then create the appropriate public folder shortcuts in the Exchange Administrator. To create to so, select the Configuration container for the site, then double-click the Protocols container, and then double-click HTTP (Web) Site Settings and click the Folder Shortcuts tab. Click New and add the appropriate public folder as a shortcut.




  • On Site Server:

    1. To allow Site Server Search to search Exchange public folders, the Site Server Search Service must be started under the context of an account that has service account administrator rights on the Exchange Server. Select Site Server Search Service from Services in Control Panel, and click Startup. Under Log On As: select This Account:, and type the name and password of an account that has service account administrator rights at the site and configuration levels on the Exchange Server.


    2. To allow Site Server Search to crawl Exchange public folders, the Site Server Search content access account used must have service account administrator rights on the Exchange Server. To enable service account administrator rights for the Site Server Search account, either:

      • Right-click the Catalog Build Server under the Search Snap-in and select Properties, and then select the Accounts tab and specify an account with Exchange Service account administrator rights as the default content access account.


        • -or-

      • Specify this account in site rules for the catalog that is defined to crawl the Exchange Server public folders. To add the account with Exchange Server Service account rights with site rules, right-click the catalog, select Properties, click the Sites tab, click Add, type the Web site name, specify the option to Crawl this Site and click Finish. After you have added the site rule, go to Properties for the site rule and specify the appropriate Exchange Server Service account on the Account tab for the site rule.




    3. Launch the Site Server Microsoft Management Console (MMC) Administrator. Right-click the server name under the Search Snap-in in the MMC and select Properties. Verify that the Exchange server name, Outlook Web Access server name, Exchange Server Site name, and Exchange Server organization name are correct. (Use the Netbios name, not the fully qualified domain name [FQDN].)


    4. Right-click the Catalog Build Server under the Search Snap-in and select the New Catalog Definition with a Wizard menu option.

      1. When the Wizard appears, click Next and type a name for the catalog and click Next again.


      2. Select the Exchange Crawl option, then click Next.


      3. Verify the start address for the crawl (it should be exch://<servername>/Public Folders/All Public Folders/<folder to be crawled>) and click Next.


      4. Select the Search Server Hosts to which the catalog will be propagated and click Next.


      5. Select the Start build now option and click Finish.




    5. To verify that the catalog built successfully, select the Gatherer Logs under the new catalog and in the right pane of the MMC, verify that the gatherer started and that the initialization completed.


    6. If the catalog does not appear under the Search Server, refresh the MMC (right-click Search Server and select Refresh). If the catalog still does not show up or appears dimmed, right-click the catalog under Catalog Build Server and select All Tasks, Propagate Catalog.


    7. To test Search Server, expand the catalog as it appears under Search Server, and click Search. A sample search page will appear in the right pane of the MMC. Type some sample text and click Search.
