XCLN: How to Set Up "Send on Behalf Of" Permissions

SUMMARY

In Outlook 98, you can set up delegate permissions so that someone can send messages on your behalf. To do this:

  1. Start Outlook.


  2. On the Tools menu, click Options.


  3. Click the Delegates tab, and click the Add button.


  4. Select a user from the global address list, click Add, and click OK.


  5. Click Reviewer from the list of Permissions for the Inbox.

    NOTE: This requires a minimum of Reviewer permissions; you can give a higher level of permissions, if you want.


  6. Click OK twice.


  7. On the View menu, click Folder List to open it if you don't have it open already. Right-click on the Inbox folder, and click Properties.


  8. Click the Permissions tab.


  9. Verify that the name of the user that was added in step 4 is listed here with at least Reviewer permissions and click OK.

    NOTE: You can also increase the level of permissions here as well, if you want.


When the user given Delegate permission is ready to send messages on your behalf, have him or her do the following:
  1. Open a new message.


  2. On View menu, click From Field.


  3. Click the From button, and select the owner from the global address list.


  4. Fill in the Cc and Subject fields and the message body as needed, and click Send.


When the message is received, the From Field looks similar to the following
Delegate on Behalf of Owner
where Delegate is equal to the name of the user with Delegate permissions and Owner is equal to the name of the mailbox owner.


MORE INFORMATION

After you configure the Delegate permissions, there a couple of things you may notice:

  • When you go back to look at the Delegates tab settings, you may notice that the permissions for Inbox have been changed to Custom. This is correct. Do not change it back to Editor, or you will ruin the Send on Behalf of permissions.


  • If you look at the properties of the owner's mailbox in the Exchange Server Administrator program, you may notice that the Delivery Options tab contains the delegate's alias under the Give Send On Behalf of permission to section. This also is correct.
