SUMMARY

If you address a message by using an Outlook contact, a dialog box similar to the following may be displayed:

Microsoft Outlook has found more than one "John Smith."
Would you like to:

Create a new address for "John Smith"

Change to

John Smith (E-Mail)
John Smith (Business Fax)

This behavior is by design.

If a given contact is populated with a fax number, Outlook checks the addresses before it sends an e-mail message. When Outlook encounters the contact with a valid e-mail address and a valid fax address it prompts you for the address that you want to use.

If your computer does not have fax capabilities, you may want to store the fax number in a different field in the contact, such as the notes section.

This behavior is more likely to occur if the contacts are first in the addressing order. You can modify the addressing order; on the Tools menu, click Services, click the Addressing tab, and in the When sending mail, check names using these address lists in the following order list, make sure Contacts is not the first item in the list. Use the up or down arrow buttons to change the order of the list.
