OL2000: How to Automatically Assign Color Codes to Appointments

This article describes how to automatically assign color codes to your Outlook appointments.


MORE INFORMATION

You can automatically assign colors to appointments in list type views, such as Active Appointments. You can not automatically assign colors to Outlook appointments in the Day/Week/Month views of your calendar.

The following steps automatically apply color codes to your appointments. First, you must select a list type view, such as Active Appointments. Second, you customize the view to apply the appropriate formatting.

Set The View To Active Appointments

  1. Open your calendar.


  2. On the View menu, navigate to Current View and then click Active Appointments.


Setup Automatic Color Codes

  1. On the View menu, navigate to Current View and click Customize Current View.


  2. Click Automatic Formatting.


  3. Click Add and name your new rule for this view.


  4. Click Font to assign a color.


  5. Click Condition to define the type of appointment to which you will apply this font formatting.


  6. Click OK. You should see the font formatting applied according to your conditions.


NOTE: The above steps only modify the current view. If you attempt to follow these steps while in the Day/Week/Month view, the Automatic Formatting button is not available.
