OL2000: (IMO) How to Create a New E-mail Account with Internet Only Support

NOTE: These procedures only apply if you have installed Outlook with the Internet Mail Only option. To determine your installation type, on the Help menu click About Microsoft Outlook. In About Microsoft Outlook you should see "Internet Mail Only" if you have the Internet Mail Only option installed.

SUMMARY

This article describes how to create a new mail account for use with the Internet Only (IMO) version of Microsoft Outlook 2000 when it is run for the first time and how to set up multiple individual e-mail accounts on one computer.

Before starting, you will need a connection to your Internet Service Provider (ISP), your e-mail account server names, and your e-mail account name.

After Outlook 2000 (IMO) is installed, you must set up your mail account. When Outlook is started for the first time it will prompt you for information to set up a mail account. See the section titled "Set Up an Internet Mail Account" for more information and start with step 4. If you want to set up the account before Outlook is run for the first time start with step 1.

If you want to set up multiple e-mail accounts for one ISP see the section, "Setup Multiple E-mail Accounts On One ISP Account" below.

Set Up an Internet Mail Account

To set up your Internet mail account, follow these steps:

  1. On the Windows Start menu, point to Settings, and then click Control Panel.


  2. Double-click the Mail icon.


  3. In Internet Accounts, click Add.


  4. Type your display name and click Next.


  5. Type your e-mail address,a as in the example, and then click Next.


  6. Type the mail server names (get this information from your Internet Service Provider), and click Next.


  7. Type your e-mail account name and password if required, and then click Next.


  8. Type a name for your Internet account. Click Next.


  9. Click to select the connection type and click Next. Click Finish.


  10. Close the Mail control panel and close the Windows Control Panel.


NOTE: Keep all of your e-mail account information stored in a convenient location for future reference. If any of your configuration files become damaged, you should remove each of your e-mail accounts from the Internet Accounts Manager, and then add each one back.

Set Up Multiple E-mail Accounts On One ISP Account

There are some Internet Service Providers that allow multiple e-mail accounts with the one ISP account. To use Outlook in this configuration, it is necessary to set up individual accounts if one computer is to be used by several individuals.

To set up multiple e-mail accounts for one ISP account on a single computer there are three tasks to accomplish that goal.

  • Set the Passwords Options


  • Set up additional Internet E-mail accounts


  • Create a new Personal Folder


Set the Passwords Options

  1. On the Windows Start menu, point to Settings, and then click Control Panel


  2. To open the Passwords control panel, Double-click Passwords.


  3. On the User Profiles tab, click to select "Users can customize their preferences and desktop settings. Windows switches to your personal settings when you log on."


  4. Click OK, and then close the Control Panels window.

    If Outlook has never been run on the computer, start Outlook and set up the first mail account using the information provided by your ISP.


  5. After you have set up the first mail account, Shutdown Windows and log in as another user to set up the other accounts.

    For Windows 95: Click Start, and then click Shut down. On the Shut Down Windows dialog, click to select "close all programs and log on as a different user."

    For Windows NT 4.0 and Windows 98: Click Start and then click Log Off <username>.


  6. When prompted for the username and password, type in the name of the new user along with their password.


For additional accounts, click Start and then click Log off <username>.

Set Up Additional Internet E-mail Accounts

Create a New Personal Folder

To finish the process, you need to define a new personal folder for the user. To do this, following these steps:

  1. On the File menu, point to New, and click Personal Folders File (.pst).


  2. Type the name of the new Personal Folder. Verify and change the file location if necessary. Click Create.

    NOTE: Do not use the name mailbox.pst.


  3. Verify and change the information if necessary, and then click OK.


  4. If the Folder List does not appear, click Folder List on the View menu.


  5. Right-click the new Personal Folders, click Properties for <Personal Folders>, and click "Deliver POP mail to this personal folders file," click OK.


  6. On the File menu, click Exit. Restart Outlook.


  7. In the Folder List, right-click the Personal Folders not associated with Outlook Today, click Properties, click Advanced, and verify that the path of this file is different than the one you created in step 2. Click OK twice to close the dialog boxes.


  8. In the Folder List, right-click the Personal Folders not associated with Outlook Today, and click Close "Personal Folders Name."

    NOTE: This closes the connection between Outlook and the folder. It does not delete it.


Log off as the current user. Log on as a new user and repeat the previous sections for each new user.
