OL2000: (CW) How to Send a Contact to a Fax Address

  • Microsoft Outlook 2000

NOTE: These procedures only apply if you have installed Outlook with the Corporate Workgroup/Other option. This option allows you to use Messaging Application Programming Interface (MAPI) services. To determine your installation type, on the Help Menu click About Microsoft Outlook. In About Microsoft Outlook you should see "Corporate" if you have the Corporate Workgroup installation.

SYMPTOMS

You can embed contact information into an e-mail message by using the right mouse button to click a contact and then click Forward on the shortcut menu. However, if you try to send the e-mail message (with an embedded contact) to a fax address, you will receive an undeliverable mail message in your Inbox.


CAUSE

The Microsoft Fax service cannot render the embedded contact item.


RESOLUTION

You can change the contact information to text before inserting it into an e-mail message by following these steps:

  1. Using the right mouse button, drag the contact to the Inbox on the Outlook Bar. Note that a shortcut menu opens automatically.


  2. Click "Copy Here as Message with Text" on the shortcut menu, to create a new mail message with the contact information formatted as regular text.


  3. Address the message to the fax number and send it. Note that the message should be delivered successfully.



MORE INFORMATION

The undeliverable mail notification message in your Inbox may contain the following explanation:


   Cannot send an embedded message in editable format.
   Click Resend, change the message format to 'Not editable'
   and then print the message to the Microsoft Fax printer. 


If you follow these directions, a fax of the icon picture is sent and not the actual contents of the contact.
