OL2000: Monthly View of Calendar Truncates Appointment

SYMPTOMS

If you set your Microsoft Outlook Calendar to the monthly view, your appointment information may be truncated and, with some screen and font settings, the start times of some of your appointments may not appear. The start time appearance may vary from one appointment to another.


CAUSE

The monthly view of the Outlook Calendar cannot wrap text within each day of the month. As the font size increases, less appointment information fits in each day on the monthly calendar. Depending upon your screen resolution, font, and font size, at some point, the text of each appointment is truncated. As the font size increases, the start time is not displayed for some or all of your appointments.

A new feature is available for viewing long appointment names, beginning with Microsoft Outlook 2000. While the monthly view of the calendar appears the same, a MouseOver event has been added that allows you to rest your pointer over an appointment to see the start and end times and all of the text in the appointment's subject field. However, printing the monthly calendar still truncates long appointments.


RESOLUTION

You may be able to resolve this problem by selecting a narrow font, such as Arial Narrow, reducing the font size, or increasing the Windows display resolution.

To Change Font or Font Size

Follow these steps to change the font and reduce the font size:

  1. Open your Outlook Calendar to the monthly view.


  2. On the View menu, point to Current View, and click Customize Current View.


  3. Click Other Settings, and under Month, click Font.


  4. In the Font list, click to select the desired font.


  5. In the Size list, click to select a smaller font size, and then click OK and OK.


To Change the Display Resolution

Follow these steps to increase the Windows screen resolution:

NOTE: As you increase the screen resolution, objects appear smaller on the screen; therefore more information fits in the same screen space. For people who have low vision, increasing the screen resolution may not be the best option.

  1. Using your right mouse button, click a blank area of the Windows Desktop, and on the shortcut menu, click Properties.


  2. In Display Properties, click the Settings tab.


  3. Under Desktop, drag the slider bar towards More.


  4. Click Apply. If you receive a prompt to restart your computer, click OK.


Repeat the steps for setting your screen resolution and the Outlook monthly calendar font until you reach the best result. If you increase the screen resolution and reduce the font size enough, you may see both the start and end times before each appointment, depending on the length of your appointment subject. Determine the balance between font, font size, screen resolution and readability that best fits your needs.
