OL2000: (CW) Contact Information Does Not Appear in Address Book

NOTE: These procedures only apply if you have installed Outlook with the Corporate Workgroup/Other option. This option allows you to use Messaging Application Programming Interface (MAPI) services. To determine your installation type, on the Help Menu, click About Microsoft Outlook. In About Microsoft Outlook, you should see "Corporate" if you have the Corporate Workgroup installation.

SYMPTOMS

When you use the address book to look up an address, information from your Contact folder does not appear in the list.


CAUSE

Outlook requires that you complete three steps before contact information will be available through the address book:

  • Install the Outlook Address Book service.


  • Select an address book in the properties for the folder.


  • Specify either an e-mail address or fax number for each item that you want to show up in the address book.



RESOLUTION

To Install the Outlook Address Book Service

  1. On the Tools Menu, click Services.


  2. Confirm that the Outlook Address Book service is in the list of available information services.


  3. If it is not, click Add and click to select the Outlook Address Book from the list of available services and then click OK.


To Mark the Contact Folder for Use with the Address Book

  1. In the Folder List, click to select the Contact folder.


  2. On the File menu, point to Folder, and then click Properties for "Contacts." On the Outlook Address Book tab, click to select "Show this folder as an e-mail address book," enter an appropriate name, and then click OK.


To Check for an E-mail or Fax Number

  1. In the Folder List, click to select the Contact folder.


  2. Double-click the contact to open the item, and examine the fields for e-mail address and/or fax number.


If there is no e-mail address or fax number, Outlook will not publish this contact in the Address Book.


MORE INFORMATION

Outlook allows any Contact folder to be used by the Address Book, not just the primary Contact folder. For example, if you create a new folder of contacts called Friends, you can specify that the contacts in the Friends folder also appear in the address book.

The Contact folders appear in the address book as subcategories of an entry called "Outlook Address Book." If you click the Outlook Address Book instead of one of the folder names, you will not see any contact information. To see the contact information, you must click the specific folder name that contains the contact.
