OL2000: Removing Meeting Appointments from Attendees' Calendar

ID: Q201102

The information in this article applies to:
  • Microsoft Outlook 2000

SUMMARY

When using the Meeting Planner in Outlook, you can invite others to a meeting by sending meeting requests that are automatically processed and placed on the attendees' calendars. Outlook does not have a feature that enables you to send a cancellation request that automatically removes a meeting appointment from the attendees' calendars.

MORE INFORMATION

To work around this, use either of the following methods:

Cancel and Recreate the Meeting

To cancel the meeting and then recreate the meeting without inviting any of the previous attendees you don't want to attend, use the following steps.
  1. Click Calendar in the Folder List.

  2. Click the meeting you organized.

  3. On the File menu, point to Open and then click Selected Items.

  4. On the Actions menu, click Cancel Meeting.

  5. Use the Meeting Planner to recreate the meeting the same way you created the original meeting; this time invite only those you want to attend.

Create a Visual Basic for Applications Solution

Create a custom solution for meeting requests that enables you to delete a meeting from another user's calendar.

The following Visual Basic for Applications Automation code can be used to delete a meeting from another user's calendar. The sample code deletes a meeting for January 1, 1999 at 9:00 A.M. from the calendar of a user named johndoe.

NOTE: You must have Delegate permission for the following example to work. Also, set a reference to the Microsoft Outlook 9.0 Object Library.

Sub RemoveAppt()
   Dim myOLApp As Outlook.Application
   Dim olns As Outlook.Namespace
   Dim mymail As String
   Dim myRecip As Outlook.Recipient
   Dim MyFolder As MAPIFolder
   Dim day1 As String
   Dim MyAppts As Outlook.Items
   Dim MyAppt As Outlook.AppointmentItem
   Set myOlApp = New Outlook.Application
   Set olns = myOlApp.GetNameSpace("MAPI")
   mymail = "johndoe"
   Set myRecip = olns.CreateRecipient(mymail)
   myRecip.Resolve
   If myRecip.Resolved Then
      Set MyFolder = olNS.GetSharedDefaultFolder(myRecip,olFolderCalendar)
      day1 = "1/1/99 9:00 AM"
      Set MyAppts = MyFolder.Items
      Set MyAppt = MyAppts.Find("[Start] = """ & day1 & """")
      If MyAppt Is Nothing Then
         MsgBox "Appointment not found."
      Else
         MyAppt.Delete
      End If
   Else
      MsgBox "Could not resolve e-mail name"
   End If
End Sub
