OL2000: (CW) New Folder Group Link to Public Folders Lost After Outlook Is Restarted

NOTE: These procedures only apply if you have installed Outlook with the Corporate or Workgroup option. This option allows you to use Messaging Application Programming Interface (MAPI) services. To determine your installation type, on the Help Menu click About Microsoft Outlook. In About Microsoft Outlook you should see "Corporate or Workgroup" if you have the Corporate or Workgroup installation.

SYMPTOMS

You have created a group to link Outlook items stored in a public folder to contacts stored in your Microsoft Exchange Server mailbox. When you subsequently restart Outlook, the links appear to be lost.


CAUSE

For performance reasons, the link to the items in the public folder are not created, in a new Outlook session, until after you open the folder that contains the public folder items.


RESOLUTION

Open the public folder containing the linked Outlook items using the Folder List, or by using a shortcut to the items.


MORE INFORMATION

Opening all user-created links to a public folder may significantly affect the time it takes Outlook to start.

To make opening the public folder easier by creating a shortcut, follow these steps:

  1. With both the Outlook Bar and the Folder List visible, select a Folder List icon for a public folder containing items that have been linked.


  2. Drag the icon from the Folder List to the desired position on the Outlook Bar.


  3. Continue adding public folder shortcuts until you have added all the necessary shortcuts, and then quit Outlook


  4. Restart Outlook and click a public folder shortcut. Open a contact with a linked item. On the Activities tab, click the Show list and click to select a group that you have previously created. The item should appear in the group list.
