OL2000: Able to Book Meetings for Unpublished Free/Busy Time

SYMPTOMS

If a resource account has been set up for direct booking, you can schedule a meeting with the resource beyond the published free/busy time.


CAUSE

Time beyond the published free/busy time is not secured against scheduling.


STATUS

Microsoft has confirmed this to be a problem in the Microsoft products listed at the beginning of this article.

To Set Up a Resource Account for Direct Booking

  1. On the Tools menu, click Options, and on the Preferences tab, click Calendar Options.


  2. Click Resource Scheduling, and click to select all three options.


  3. Click OK, OK, and OK.


To Set Limits for Publishing Free/Busy Time

  1. On the Tools menu, click Options, and on the Preferences tab, click Calendar Options.


  2. Click Free/Busy Options, and then enter the number of months in the future for which you would like to publish the resource's free/busy time.


  3. Click OK, OK, and OK.


To Schedule a Meeting with the Resource

  1. Start Outlook on a second computer.


  2. In the Calendar folder, on the Action menu, click Plan a Meeting.


  3. Click Invite Others, click to select the resource account, click Resources, and then click OK.


  4. Select a meeting start date that is beyond the published free/busy time.


Notice that the resource account's schedule displays as a series of slashes, indicating no information is available. This will not prevent you from scheduling a meeting during this period.
