OL2000: (CW) Mail Merge Shows Exchange-type E-Mail Address

NOTE: These procedures only apply if you have installed Outlook with the Corporate or Workgroup option. This option allows you to use Messaging Application Programming Interface (MAPI) services. To determine your installation type, on the Help Menu click About Microsoft Outlook. In About Microsoft Outlook you should see "Corporate or Workgroup" if you have the Corporate or Workgroup installation.

SYMPTOMS

If you use Microsoft Word to mail merge your Outlook contacts or contact distribution list, the E-mail field in the merge document may display X500 Microsoft Exchange addresses instead of SMTP addresses.


CAUSE

Your contacts or contact distribution lists are using e-mail addresses from the Exchange Global Address List.


RESOLUTION

You can not change from the X500 Exchange address to the SMTP address by editing the contact and changing the e-mail address to the SMTP format. For example, if the X500 shows an address similar to "/o=myisp/ou=domain/cn=Recipients/cn=98860" in the merge document, editing the e-mail field in the contact by manually typing the address in the format, "someone@microsoft.com" still resolves with the Global Address List.

To edit the e-mail address of a contact, follow these steps:

  1. Open the contact.


  2. Click to select the address in the E-mail box, and then type the new address in the format, smtp:someone@microsoft.com.


  3. Click Save and Close.
