OL2000: How to Append a vCard or Other Attachment to Signatures When Using Word as the E-mail Editor

SYMPTOMS

When you use Microsoft Word as the e-mail editor in Microsoft Outlook, there is no facility for appending a vCard or other attachments to the AutoSignature.


CAUSE

The AutoSignature for Word documents uses an AutoText entry. The Outlook AutoSignature features are not used. Word is not specifically designed to include attachments in AutoSignatures.


RESOLUTION

Appending an attachment to a Word AutoSignature is a two-step process, which is developed in the "More Information" section:

  • Create an AutoSignature in Outlook for Word.


  • In a Word document, add the vCard file or other attachment immediately following the AutoSignature. Then create a new AutoText entry from the AutoSignature and the attachment with the same name as the previously configured AutoSignature.

Add the vCard or Other Attachment

  1. In Word, point to AutoText on the Insert menu, and click AutoText.


  2. Click to select the Signature entry from the list of AutoText entries, and click Insert.


  3. In the Word document, insert the saved vCard (.vcf) file or other attachment that you wish to use, in the line immediately following the AutoSignature.


  4. Select all of the text and the attachment, point to AutoText on the Insert menu, and click New.


  5. Type a name for the AutoText entry, and click OK.

    NOTE: It is imperative that you give this AutoText entry the same name as the AutoSignature you originally created.


  6. Click Yes when you receive the Redefine the Auto-Text entry? prompt.


  7. Close the document and open a new e-mail item. Your AutoSignature should appear with the new attachment.
