OL98: Cannot Sort by Some Fields in Tasks Folder

SYMPTOMS

When you try to sort your Tasks by Company, Category, Contact, Notes, or Read fields in Microsoft Outlook 98, you receive the following message:

The field "<field name>" that you want to sort by is not shown in the view. Do you want to show it?
If you click Yes, an unpopulated field is added to your Tasks list, even if you have the field displayed.


CAUSE

Outlook does not sort by multi-value fields.


RESOLUTION

You can group your Tasks by multi-value fields. Use one of the following methods to group by Company.

Method 1

  1. On the View menu, point to Current View, and click Detailed List.


  2. On the View menu, point to Current View and click Customize Current View and click Group By.


  3. In Group Items By, click Company and click Ascending or Descending for the sort order of the group headings.

    NOTE: If the field you want is not in Group Items By, click a different field set in the Select Available Fields From.


  4. To show the field you are grouping items by, click to select Show Field In View.


  5. To group by subgroups, select a field in Then By and click OK.


Method 2

  1. Click Group By on the toolbar. An area appears directly above the tasks.


  2. Drag the column heading you want to group items by into Group By.


  3. To group items by more than one field, drag another column heading into Group By. Use the double-arrow marker to position the column headings before or after other headings in Group By.
