WD: Heading Numbering Incorrect in a Table

ID: Q113982

The information in this article applies to:
  • Microsoft Word for Windows, versions 6.0, 6.0a, 6.0c
  • Microsoft Word for Windows 95, versions 7.0, 7.0a
  • Microsoft Word for the Macintosh, versions 6.0, 6.0.1, 6.0.1a

SYMPTOMS

In a table in Word, when paragraphs are formatted with a heading style (for example, Heading 1), and you use the Heading Numbering command on the Format menu to number them, the paragraphs may not be numbered as you expect.

Case 1: The Paragraphs Are in the Same Table Cell

In this case the numbering will not be incremented within the cell (that is, Word will number everything in the cell as "1" rather than as 1, 2, 3, and so on).

Case 2: Left-most Column Lacks Heading Style Format

If the left-most column (the first column) of the table does not contain a paragraph formatted with a heading style, the paragraphs will reflect the same number throughout the table.

RESOLUTION

To resolve this problem, upgrade to the latest version of Microsoft Word.

To work around this problem, follow these steps:

  1. Remove all Heading-style formatting applied to the text within the table. Then, reformat the text using any non-heading style formatting.

  2. Select the text within a table cell to be numbered.

  3. On the Format menu, click Bullets And Numbering.

  4. Select the Numbered or Multilevel tab.

  5. Select the appropriate numbering scheme, click Modify, change the Start At to the appropriate starting number for the selected text, and then click OK.

  6. Repeat this procedure for the remaining text in the table.

STATUS

Microsoft has confirmed this to be a problem in the Microsoft products listed at the beginning of this article. This problem has been corrected in Microsoft Word 97 for Windows and Microsoft Word 98 Macintosh Edition.
