Data Form Adds Blank or Empty Records

SYMPTOMS

A blank line and an empty record are created when you edit a comma- delimited data file using the Data Form button on the Database toolbar.


CAUSE

This behavior occurs when

  • You use a comma-delimited data file that contains an empty paragraph below the last record.


  • -and-

  • You choose the Add New button before you choose the OK button in the Data Form dialog box.


The new record is added below the empty paragraph mark, leaving an empty paragraph above the new entry and adding an empty record with commas and quotation marks denoting each field.

If the data file contains an empty paragraph and you add the new record without choosing the Add New button immediately before choosing OK, then the empty record does not appear below the new record. The blank paragraph still appears above the new record.


STATUS

Microsoft has confirmed this to be a problem in Word versions 6.0 and 6.0a for Windows. We are researching this problem and will post new information here in the Microsoft Knowledge Base as it becomes available.


WORKAROUND

Before adding records using the Data Form button, remove the final (blank) paragraph mark in the document, and do not choose the Add New button before choosing the OK button in the Data Form dialog box.
