Moving Through Mail Merge Data Form Records Is Slow

SYMPTOMS

Moving though mail merge records using the Mail Merge Helper Data Form can be extremely slow. For example, when you choose the last record button (>|), Word for Windows can take up to five minutes to find the last record.


CAUSE

This problem occurs when each column of the data document contains numbering formatting.


STATUS

Microsoft has confirmed this to be a problem in Word 6.0 and 6.0a for Windows. We are researching this problem and will post new information here in the Microsoft Knowledge Base as it becomes available.


RESOLUTION

If you want to number each of the merged data records, use the MERGEREC field.

To remove the numbering formatting from the data document, perform the following steps in the mail merge main document:

  1. On the Mail Merge toolbar, choose the Edit Data Source button.


  2. In the Data Form dialog box, choose the View Source button.


  3. From the Edit menu, choose Select All.


  4. From the Format menu, choose Bullets And Numbering.


  5. Choose the Remove button.
