Cross-Reference to Heading Number Is Not Text

ID: Q121470

The information in this article applies to:
  • Microsoft Word for Windows, versions 6.0, 6.0a, 6.0c
  • Microsoft Word for Windows 95, versions 7.0, 7.0a
  • Microsoft Word for the Macintosh, version 6.0
  • Microsoft Word for Windows NT, versions 6.0, 6.0.1, 6.0.1a

SYMPTOMS

When Heading Numbering is formatted as an ordinal number (1st, 2nd, 3rd), as cardinal text (One, Two, Three), or as ordinal text (First, Second, Third), a cross-reference will appear with a number instead of text.

For example, if you cross-reference the following heading using cardinal text formatting

Section One
a cross-reference to the Heading Number will display as,
1.
This behavior does not occur when the format of the heading numbering is alphabetic or roman.

WORKAROUND

Modify the cross-reference field to include one of the following switches depending on the numbering format you are using for your heading numbering.

Number Format Field Switches to Add to REF field
    ------------------------------------------------------------------

1,2,3 \* Arabic (the default, switch is
                                       optional)
    I, II, III \* Roman
    i,ii,iii \* roman
    A,B,C \* Alphabetic
    a,b,c \* alphabetic
    1st,2nd,3rd \* ordinal
    one, two, three \* cardtext
    first, second, third \* ordtext
To modify the cross-reference field:

  1. Position your insertion point in the cross-reference field.

  2. Toggle View Field Codes so that the field code (rather than the result) is displayed. To do this in Word for Windows, press ALT+F9. In Word for the Macintosh, press OPTION+F9.

  3. Position the insertion point at the end of the field code, inside the closing brace, and type the desired field switch. Using the previous example, you will add the CARDTEXT switch to the field, as follows:
    {REF_Ref12346789 \n \* cardtext}

  4. Update the field code by pressing F9.

  5. Toggle View Field Codes so that the field result (rather than the code) is displayed.

STATUS

Microsoft has confirmed this to be a problem in programs listed above. This problem was corrected in Microsoft Word 97 for Windows and Word 98 Macintosh Edition.
