Delivery Address Is Wrong When Address Contains IF Fields

ID: Q130778

The information in this article applies to:
  • Microsoft Word for Windows, versions 6.0, 6.0a, 6.0c
  • Microsoft Word for the Macintosh, versions 6.0, 6.0.1

SYMPTOMS

In a mail merge document, the address shown in the Envelopes And Labels dialog box may be incorrect. The wrong address, or only part of the right address, may be showing.

CAUSE

This problem occurs when a conditional field is included in the mail merge address information--specifically, when ALL the following conditions are true:

  • The document is a mail merge main document.

  • The delivery address contains an IF field.

  • The result of the IF statement contains more than 25 characters on one line.

  • The addresses are viewed using the Merged Data Button (the <<ABC>> button).

WORKAROUNDS

Method 1: Turn off the <<ABC>> button before choosing Envelopes And Labels from the Tools menu.

Method 2: Merge to a new document and select the address in the new document before choosing Envelopes And Labels from the Tools menu.
