How to Print Labels Using Direct Mail Manager

This article describes how to use Direct Mail Manager to print mailing labels.

To print labels directly from Direct Mail Manager, follow these steps:

  1. In Direct Mail Manager, import your address list, verify your addresses, edit the address list, and check for duplicate addresses.


  2. When Direct Mail Manager prompts you with "How would you like to send your mailing?" click to select "Quick and Simple--First Class Mail," and then click the Next button.


  3. When Direct Mail Manager prompts you with "Design your mail piece here", click Design.


  4. In Mailpiece Design Options, on the Media tab, click to select Labels.

    Under Media Details, select the type of label you want in the Size box, and then click OK. If your label type is not listed in Media Details, you cannot use Direct Mail Manager to merge to labels. Please see the "Using Your Direct Mail Manager Address List to Print Labels from Word" section of this article to merge to your labels.

    NOTE: On the Delivery Address tab, you can select to print the postal barcode above your address on the label; in addition, you can change the font and position of the addresses on your labels.

    If you selected a label size that is fewer than three-inches in width and if you also selected to print the postal barcode on your label, when you click OK, the following message will appear:
    The label needs to be over 3 inches wide to accommodate a delivery point barcode. The barcode will be turned off.
    If you want to print the postal barcode on your labels, repeat steps 3-4 and choose a label type that is greater than three-inches wide. You will also have to reselect the Print Barcode check box on the Delivery Address tab.


  5. Click the Next button. You can now select your printer, paper feed tray and page orientation. When you click OK, your labels should print.


Using Your Direct Mail Manager Address List to Print Labels from Word

NOTE: Use these steps only if your labels are NOT listed in Direct Mail Manager.

To use your Direct Mail Manager address list to print labels from word, follow these steps:
  1. In Direct Mail Manager, import your address list, verify your addresses, edit the address list, and check for duplicate addresses.


  2. When Direct Mail Manager prompts you with "How would you like to send your mailing?" click to select "Quick and Simple--First Class Mail," and then click the Next button.

    NOTE: At this point, Direct Mail Manger will create a new file named Mergedata.txt as an updated address list. Mergedata.txt will be located in the Direct Mail Manager folder which should be located in the following location:
    <drive>:\Program Files\Microsoft Office\Office\Direct Mail Manager
    You can use the Mergedata.txt file to create mailing labels in a Word 97 for Windows mail merge. If you want to use this file, click Cancel to exit Direct Mail Manager.

    -or-

    If you want to save your updated address list to a different file name and folder, then proceed with the following steps:

    1. When Direct Mail Manager prompts you with "Design your mailpiece here," click the Back button.


    2. When Direct Mail Manager prompts you with "How would you like to send your mailing?" click to select "Do not print the mailing now," and then click Next.


    3. When Direct Mail Manager prompts you with "How would you like to save the updated list?" click to select "Save results to a new file," and then click Next.


    4. In the Save List As dialog box, do the following:

      1. Change the Save in box to the folder you want to save your updated address list.


      2. Change the Save as type box to the following selection:
        Text File (*.txt, *.csv, *.tab, *.asc)


      3. In the File name box, type a new name for your updated address list and then click Save.

        For example, in the File name box type Address.txt.


      4. When Direct Mail Manager prompts you with "Would you like to create a form letter?", click Cancel to exit Direct Mail Manager.






  3. In Microsoft Word 97 for Windows, use either the Mergedata.txt file or the text file that you saved in step 2 a data source to merge to mailing labels.
