WD: Error Msg: Text Formatted with No Proofing Was Skipped

SYMPTOMS

In Microsoft Word, if part or all of your document is formatted with no language reference, when you run either the spelling checker or the grammar checker, you receive either of the following messages.

Word 7.x

The spelling check is complete.

Word 6.x and earlier

The Spelling Check is complete.
Text formatted with (no proofing) was skipped.
This error has also been reported to occur with documents imported to Word 2.x from either Ami Pro or WordPerfect. The resolution described in this article corrects this problem.

Note that the document will not be hyphenated automatically if text is formatted with (no proofing).


CAUSE

To use the spelling checker, you must specify a language. Word uses the default language unless you specifically format part or all of your document with no proofing. Word skips any text formatted in this way, because it does not have a language to check against.

In the following specific cases, text is formatted by default as (no proofing), and the error message described in the "Symptoms" section of this article occurs when you run the spelling checker:

  • You saved a Microsoft Word version 5.x for the Macintosh document in normal format, moved it to the (MS-DOS-based) Windows environment using the Apple File Exchange Program, opened it in Word 6.0 for Windows, and then ran the spelling checker. Note that this behavior does not occur if you open the same document in Word 2.x for Windows and run the spelling checker.


  • You created a document using the Word 6.0 Agenda Wizard.



RESOLUTION

To resolve this problem, follow these steps:

  1. Select any paragraphs in your documents formatted as [no proofing], or click Select All on the Edit menu to select your entire document.


  2. In Word 6.x and 7.x, click Language on the Tools menu, and select English (US).

    In Word version 2.x, on the Format menu, click Language, and then select English (US).


  3. Run the spelling checker again.


The misspelled words will be correctly flagged.

NOTE: For WordPerfect 6.0 documents, save the file in WordPerfect 5.1 format instead of Word 2.x format. When you open the WordPerfect 5.1 format file in Word for Windows, the error described in this article does not occur.
