"Unknown Field Name" During Print Merge

SUMMARY

In Word for MS-DOS look for one of the following five common problems if one of the following error messages:

  • version 6.0:
    field name: This fieldname is not valid,

    Press F1 for help.


  • version 5.5:
    This field name is not defined


  • version 5.0:
    Unknown field name


occurs when you are running a Print Merge in Microsoft Word

  1. In the master document, verify that the data statement is using the filename of the data document, including the filename's extension and the path name if the file is not in the current directory specified with the Transfer Options command in Word 5.0. In Word 5.5, from the File menu, choose Save As, and select Options to check this. Make sure there are chevrons (<< or >>) surrounding the data statement.


  2. Verify that the field names are composed of only alphanumeric characters (no spaces, underscores, punctuation characters, and so forth), and do not start with a number.


  3. The data document should have all the field names defined in the header, separated by commas (or tabs or semicolons), with no spaces, and with no comma after the last field name in the header.


  4. Verify that there is no blank line preceding the data statement at the beginning of the master document.


  5. Check the "decimal character:" field of the Options command and make sure it is not set to be a comma.
