SYMPTOMS
When you print a document to the Fax printer, you can select only contacts from the Windows Address Book (WAB). There is no option to select contacts stored in other messaging programs (such as Microsoft Outlook contacts).
CAUSE
The Send Fax Wizard is designed to use the WAB for its contact storage only.
RESOLUTION
If you store your contacts in Outlook, you can use either of the following workarounds:
Method 1
Export the Outlook contacts and import them into the WAB:
- In Outlook, click Import and Export on the File menu.
- Click Export to a file.
- Click Comma Separated Values (Windows).
- Click the Contacts folder in the list.
- Browse to a location and file name, and then click OK.
- Click Finish.
- Open the WAB by clicking Start, pointing to Programs, pointing to Accessories, and then clicking Address Book.
- On the File menu, point to Import, and then click Other Address Book.
- Click Text File (Comma Separated Values), and then click Import.
- Browse to the location of the file you exported, click Open, and then click Next.
- Map the fields you want to import as appropriate.
- Click Next.
You can now use your contact information for the Send Fax Wizard in the WAB. Bear in mind that contact updates should be made in the WAB. Otherwise, you must export and import again whenever you make changes to your Outlook contacts.
Method 2
To use and maintain contacts in one location, send faxes using your Outlook contacts exclusively:
- Start Outlook.
- On the Tools menu, click Services.
- Click Add, and then click Fax Mail Transport.
- Quit and log off Outlook, and then start Outlook again.
When you use this method, you can fax from Outlook using your Outlook contacts by saving a document in your program and then sending it as an attachment. Make sure when you are addressing the mail to use the Business Fax entry in the Outlook Contacts list.
Note that you cannot use your Outlook contacts by printing to the Fax printer when you use this method.
STATUS
This behavior is by design.
