How to Subscribe to E-mail Notifications on an OSE-extended Web

The Web Subscriptions feature in Microsoft Office 2000 allows a user to subscribe to an e-mail notification service. The subscriber receives an e-mail message when a folder or document changes on an OSE-extended web. A user can choose to receive notification when:

A subscriber receives an update for a folder event when the event occurs on a document at the top level of a folder. If the event occurs on a document inside a subfolder, no update is sent.

Note   An OSE-extended web can store discussions about documents saved on other Web sites and servers. Users can subscribe to receive updates when discussion items are added or changed in remote documents. However, users cannot subscribe to receive updates for any other changes to remote documents.

For subscriptions, users can set the frequency they want to receive e-mail updates to one of the following options: Within a few minutes, Once a day, or Once a week. The administrator of the OSE-extended web defines the intervals in increments of minutes, hours, or days.

To create a Web Subscription

  1. On the Tools menu in Microsoft Word, Microsoft Excel, or Microsoft PowerPoint, click Online Collaboration, and then click Web Discussions.
  2. – or –

    On the View menu in Microsoft Internet Explorer version 4.0 or later, click Explorer Bar, and then click Discuss.

    – or –

    On the Standard toolbar in Microsoft Internet Explorer 5, click the Discussion tool.

  3. Click Subscribe.
  4. Select a file or folder, and then select the type of e-mail notifications you want to receive.
  5. In the Address box, type your e-mail address.
  6. In the Time box, select how often you want to receive e-mail notifications.

The OSE-extended web stores subscription information in a database and then processes the information in batches. The subscription message contains a link to the shared document and a link to cancel the subscription.

To view and delete subscriptions, a user clicks the Manage Web Subscriptions option on the Office Server Extensions (OSE) Start Page.
