Copying multiple items

You can use the Office Clipboard to collect and paste multiple items. For example, you can copy text in a Microsoft Word document, switch to Microsoft Excel and copy a drawing object, switch to Microsoft PowerPoint and copy a bulleted list, switch to Microsoft Access and copy a datasheet, and then switch to Microsoft Word and paste the collection of copied items. The Office Clipboard automatically copies multiple items when you do any of the following:

Using the Clipboard toolbar

You can also copy multiple items by displaying the Clipboard toolbar (View menu, Toolbars submenu) and clicking Copy . If you open the Office Clipboard in one Microsoft Office program, the Office Clipboard appears when you switch to another Office program. The Clipboard toolbar is not available in views where the Copy, Cut, and Paste commands are not available.

When the Clipboard toolbar is shown, you can click Paste All to paste all the items you have copied, or you can click an individual item to paste only that item. The Paste command (Edit menu) pastes only the last item you copied. However, after you have pasted anything from the Clipboard toolbar, either an individual item or all items, the Paste command (Edit menu) pastes the last thing pasted from the Clipboard toolbar.

Note   You cannot customize the Clipboard toolbar.

The Office Clipboard and Windows Clipboard

The Office Clipboard is separate from the Windows Clipboard. When you copy multiple items to the Office Clipboard, the last item you copy is always copied to the Windows Clipboard. When you clear the Office Clipboard, the Windows Clipboard is also cleared. When you use the Paste command (Edit menu), Paste button, or the paste shortcut key (CTRL+V) you paste the contents of the Windows Clipboard.

Office Clipboard capability

The Office Clipboard can hold up to 12 items. If you copy an additional item when the Office Clipboard already contains 12 items, you receive a message asking whether the first item should be removed or the current item, the thirteenth item, should not be copied. The collected items remain in the Office Clipboard until you quit all Office programs running on your computer.

You cannot paste multiple items or display the Office Clipboard in a program other than Microsoft Excel, Word, Access, Outlook, or PowerPoint. However, if the Office Clipboard is shown in any Office program, any items you cut or copy in any program are collected automatically.
